How it works

Bill a trip in three simple steps

Bill this week’s trips without opening a spreadsheet.

Step 01

Set up the client

Store the consignor or client once with their GSTIN and address, so the tax treatment is set before you raise anything.

Step 02

Bill the trips

Invoice each trip as a line with the route, tonnage or rate, or group a month of trips onto one account invoice.

Step 03

Record and reconcile

Record payments as they arrive and see which clients are behind, which is what keeps a fleet funded.

Built for the work

Built for how transport work is billed

Per trip or per month

One trip, one lineBill each movement as its own line with the route and rate, so a client querying a month’s charges can see exactly what they are for.

Or bill the month togetherGroup a period of trips onto a single account invoice for regular clients, which is how most repeat freight work settles.

Inter-state tax, decided for you

IGST applied automaticallyBecause most transport work crosses state lines, getting this wrong is common. Save the client’s state once and the right tax is applied every time.

SAC codes saved onceStore the correct service code against your saved rates so every invoice carries it and your GSTR-1 files cleanly.

Running costs against the job

Fuel, tolls and repairs recordedLog running costs as they happen with the receipt attached, instead of reconstructing a month from a glovebox full of slips.

Costs against the clientWhere a cost belongs to a specific job, tag it so you can see what a route actually earned rather than assuming.

Accounts that settle monthly

Know who owes whatReceivables by client and by age, so the account that has quietly gone sixty days overdue is visible before it becomes ninety.

FAQ

Transport invoicing questions, answered

Does Pinvoice generate e-way bills or consignment notes?

No. Pinvoice does not produce e-way bills, lorry receipts or consignment notes, and does not connect to the e-way bill portal. It handles the invoicing, expenses and payment side. Keep using whatever you currently use for transport documentation.

How is GST handled on inter-state transport?

Save the client’s state with their record and Pinvoice applies IGST when the supply crosses state lines and CGST plus SGST when it does not. Since most freight work is inter-state, having that decided automatically removes a common source of error.

Can I bill a month of trips on one invoice?

Yes. Add each trip as a separate line on a single invoice, with the route and rate against each. Regular clients usually prefer one monthly account bill to a stream of individual invoices.

Can I record fuel and toll costs?

Yes. Log them as expenses with the receipt photographed and attached, tagged to a client where the cost belongs to a specific job. That is what makes a route’s real margin visible.

Does it track vehicles, drivers or trips?

No. There is no fleet, driver or trip management module. Pinvoice is the billing and money side. Vehicle and driver records belong in whatever system you use for operations.

Is it free for a small fleet?

Yes. Unlimited clients, invoices and expenses at no cost, with no per-vehicle or per-user fee.
